Photo, privacy and child safety policy

No photograph or video in which a child is identifiable is published on this website, on social media, or in printed material unless a parent or guardian has signed our photo permission form and we hold that form on file.

Permission is recorded per child and per purpose. A family may allow images inside a private end-of-term report while declining public use, and we honour that split.

We never publish a child's surname, home address, school timetable, contact detail or date of birth. Where a student is named at all it is a first name with a grade, and only with written permission from a parent or guardian.

Tournament results published by third parties are outside our control; we do not republish them with additional identifying detail.

At registration we collect the student's first name, grade, the parent or guardian's name and contact details, any medical or access information the family chooses to share, and the photo permission decision.

We collect nothing else, and we never ask children directly for contact details.

The contact form stores the name, email address, organization and message you send, together with the page you sent it from, so that we can reply. Newsletter subscriptions store an email address and nothing else.

The site sets no advertising or analytics cookies. The only cookies used are the session and security cookies required for the contact form to work safely.

Registration records and consent forms are held in access-controlled storage available to the program director and the coach at that site only. Contact form messages are retained for twenty-four months and then deleted.

Consent forms are retained for as long as the related images remain published, plus twelve months.

A parent or guardian may withdraw photo permission at any time, in writing, without giving a reason. We remove the image from the live site within two business days and from any archived copies at the next scheduled update.

Withdrawal has no effect on a student's place in the program.

We do not sell, rent or share personal data with third parties for marketing. Data is shared with a partner school only where that school is the setting for the session and needs it for its own safeguarding obligations.

Our email and hosting providers process data on our instructions under written agreements.

Every adult working with students clears a background check before entering a room. Every session runs with two adults present. Coaches do not contact students directly through personal accounts; all communication goes through the parent or guardian.

Concerns can be raised with the program director at any time, and are escalated to the partner site's designated safeguarding lead where one exists.
